steps in writing a grant proposal

  1. Prepare to write your grant:
    • Consult sponsor guidelines
    • Make a checklist of required materials
  2. Draft the proposal
    • If you need help completing any portion of the grant or would like someone to read drafts, etc., contact Tom Gutting in the Dean’s Office (tgutting@uh.edu; (713) 743-3702).
  3. Complete required UH processing forms
    • UH Proposal Transmittal Form
    • Cost Sharing Form (if necessary)
    • Fringe Benefits Calculator worksheets for each year of any requested salaries
    • Human Subjects approvals (if necessary)
    • Animal Care forms (if necessary)
    • Conflict of Interest form (once annually)

  4. Department chairman’s signature(s)
    • Once everything is in order with the grant, including internal processing forms, sign the Transmittal Form and submit it for your department chair’s signature. Your chair must also sign cost sharing forms and, possibly, the conflict of interest form.
  5. Dean’s signature
    • Send the proposal to Tom Gutting in the Dean’s Office, who will obtain the Dean’s signature on required forms.
    • Turnaround time is 24 hours.
  6. Submit proposal to the Office of Contracts and Grants
    • Once the required signatures are in place, Contracts and Grants requests 72 hours to review a grant.
    • They will check it for completeness and obtain Lee Boozer’s signature (as the University’s authorizing official) on the application.
    • If requested, OCG will also mail the proposal for you (as long as you provide a valid cost center for postage charges). Otherwise, they will return it to you for mailing (or online submission, if applicable).
  7. Notification
    • OCG will notify you when the sponsor has reviewed the application and made a decision.
    • OCG is also in charge of administering all grants made to UH. They will provide the Notice of Award and other documentation.
